Estate Planning Paralegal

California’s premier Estate Planning and Trust Administration firm currently has an opening for an experienced Estate Planning Paralegal. Our firm has grown explosively since our founding in 1994, and we now operate as a cohesive team out of offices in Northern and Southern California.
 
About the role:
 
At our firm, we guide savvy caring families in the protection and transfer of multi-generational wealth. The Paralegal provides effective attorney support with drafting of all estate planning and associated documents and delivering a five star client experience. It is vital that the Paralegal has experience in estate planning in order to help our clients take care of their families for generations to come. If you are not a Notary already, we will arrange for you to become one. This role is critical to the success of the firm with the ideal candidate being very organized, accurate and analytical with a strong emphasizes on client engagement and teamwork.
 
What you’ll do:
 
As part of your strategic partnership with your colleagues at the firm, you will deliver a five star client experience by assisting the attorneys and colleagues with accurate and timely drafting of estate plans and associated documents, guiding clients throughout the entire process.
  • Use Abacus software to update client information on the database and conflict check against the entire client database
  • Draft estate planning documents using WealthCounsel. Make corrections/changes to the documents as instructed by the attorney and client
  • Prepare wills, powers of attorney, and related documents
  • Prepare deeds and related documents for the transfer of assets/entities
  • Research real property to confirm title
  • Respond to client inquiries about drafts and other EP or TA matters
  • Merge, format, and mail drafts of estate planning documents to clients
  • Take lead responsibility for signing meetings, ensuring all documents are properly signed, notarized, and scanned into the client file
  • Participate in weekly estate planning and staff meetings
  • Correspond with clients to answer client questions and concerns
  • While this position is primarily estate planning, on occasion, assist with trust administration
  • Management of trust administration, probate, and non-probate transfer matters from initial engagement to completion
  • Draft petitions, pleadings, IRS 706 forms, court forms, legal documents, and correspondence
  • Communicate with our clients, trustees, beneficiaries, and court contacts
  • Prepare and serve required government notices and forms
  • Maintain electronic files and records
  • Prepare asset allocations, inventories, and accountings

Administrative Duties and Responsibilities
  •  Manage the overall client experience from first impressions throughout entire engagement
  •  Communicate effectively and provide necessary information and forms to clients and staff (e.g.,
  • Client Questionnaires (CQ), appointment information, etc.)
  •  Manage calendar for assigned attorney(s) to support, communicate any schedule changes appropriately, anticipate needs and prioritize workflow accordingly
  •  Responsible for managing the matters
  •  Prepare for client appointments by setting up electronic client folders with necessary forms and documents
  •  Provide effective administrative support for assigned attorney(s) throughout client engagement
  • (e.g., client communication, scanning client files, database management, etc.)
  •  Cooperating with office team and assisting in greeting clients upon arrival.
  • General office administration as needed or assigned to you (e.g., process mail, scan documents, order inventory, etc.)
About you:
  •  3+ years of directly relevant work experience
  •  College degree or equivalent experience
  •  Paralegal certificate and/or bachelor’s degree
  •  Notary or willingness to become a notary
  •  Strong computer experience (MS Office Suite etc.)
  •  Experience with WealthDocx, Abacus, and Asana (preferred but not required)
  •  Excellent communication skills (written and verbal) 
  •  Exceptional time management skills (prioritize multiple responsibilities, problem solve, provide accurate and timely work)
  • Unwavering commitment to teamwork and delivering a five star client experience
  • Preference to speak Spanish or Armenian or Mandarin.
This position is based out of the Pasadena office; however, travel to other offices may be needed on occasion.
