Business / Sales Administration Position This is a dynamic job position that will involve working with many facets of our import and distribution company. The job includes: excel work, state and federal compliance, financial reporting, supporting the sales team, as well as communication with suppliers and customers. This employee will be expected to be well rounded and be able to learn the ins and outs of how our import & distribution business functions in a highly regulated and controlled industry. This position is multi-facetted and the new employee will be expected to learn many functions of the business. Also, the person should have a strong ability to learn quickly and apply practical business knowledge to scenarios as they present themselves. This employee will work directly with management to price products, make marketing materials, and review monthly reports and tax paperwork to ensure it is complete and accurate. This is a very detail-oriented position that will allow the new employee to learn how an alcohol distribution company functions. There is opportunity for growth within this family owned and operated company. Skills Necessary:
Must be proficient with Excel, Outlook, Word and Adobe Acrobat.
Should also understand how to edit and fill out PDF documents
Work well with team, cooperative work environment
Accuracy – Job requires reviewing materials for completeness, accuracy, format, etc.
Understand and apply applicable policies and procedure, laws, regulations, and rules
Yearly Responsibilities Maintain / renew out of state liquor licenses & brand registrations Fiscal sales reports / charts for Joel
Monthly Responsibilities Financial Recaps for California, Nevada, Arizona & Washington Taxes for California, Nevada, Arizona & Washington Review Tax receiving / exempt reporting paperwork from purchasing Submit Scans for retailers (BevMo, Total Wine, Raleys, etc.) Maintain/Update pricing books for all 4 States (CA, NV, AZ, WA) and USA Wholesale Including: Scotch lists, Promotions, Special pricing, etc. Keep up with special pricing programs Chargeback suppliers for any deals / programs Calculate Royalty Payments Monthly billing for warehouse customers Review Cost Collection reports (BevMo, Total, Whole Foods) Review Vendor unknown reports (Total Wine CA, NV, AZ, WA)
Daily / On-Going Create pricing for new products & suppliers Set-up new suppliers & products Add product information to Google Drive / Websites / Catalogs Make control state price quotes Research new states laws/compliance prior to entry / sale Make new item forms for customers (Raley’s, Nugget, etc.) Register brands as requested Make presentations as requested to support the sales team & executive management Maintain Customer websites/pricing (BevMo MDM, Total Wine, Whole Foods, etc.) Submit new items to Total Wine & BevMo through their online portals Submit labels & formulas for TTB approval Support Executive Management & Sales team with Outfield – CRM software Maintain information for sales accounts and sales personnel on Outfield Handle product pricing changes: re-pricing & notification to sales team Make sell sheets for new items Make & maintain contract price pages / pricing updates Help new suppliers with Nevada, Arizona & Washington licensing Create / maintain sell sheets for single barrel programs Create Warehouse new item forms and make corrections/updates to new items details Review & Approve all out of state pricing on Purchase Orders Schedule GoToMeetings for executive management & the sales team as needed Scheduling / Maintaining Ride along Calendar on Google Drive & Rich’s Calendar
