Sr. Facilities Coordinator (URGENT NEED)

Our client is hiring a dynamic and experienced Senior Facilities Coordinator.

Responsible for day to day office operations and procedures to include facility related activities. This includes purchasing, accounts payable, regulatory compliance documentation, customer service, contractor scheduling, HR issues and other administrative functions associated with office and facilities operations. Coordinates employee moves/adds/changes. Monitors work order requests expeditiously and brings them to a satisfactory conclusion. Functions as liaison with building property management. May perform in a lead capacity for a group of nonexempt employees. Must be able to be on-call for after hours emergencies. 

  • Serves as prime liaison for operations and facilities coordination. 
  • Serves as primary employee point of contact for all office operations and facilities coordination 
  • Coordinates and manages vendor/service provider activities. 
  • Prepares and plans for annual budget as necessary. 
  • Monthly reporting to include Workplace Risk Assessment, Office Space Estimate (OSE), Occupancy Report and Recycling Report 
  • Acts as member of Office Safety Committee. 
  • Attends scheduled operations and facility team meetings. 
  • Encourages safe and secure work environment and practices. 
  • Ensures adherence to all corporate, contractual, ethics and safety standards, policies and procedures. 
  • Provides oversight to other staff including receptionists and mail room personnel. 
  • Coordinates with Talent Management to on-board and off-board employees. 
  • Performs other responsibilities unique to the location 

  • High school diploma (or equivalent) required 
  • Minimum 8+ years of relevant experience, including some experience in a lead capacity required 
  • Some college level education preferred 
  • Strong written and oral communication, organizational, interpersonal skills, and customer service skills are required. 
  • Demonstrated proficiency with suite of Microsoft products to include Outlook and Excel required 
  • Ability to work on individual tasks and team tasks. 
  • Ability to work with various levels of staff. 
  • Must function effectively under time constraints, schedule workload to meet deadlines, and have the ability to prioritize. 
  • Applies knowledge and skills to details of work. 
  • Familiarity with codes and regulations covering facility maintenance and workers? safety. Good verbal communication skills are required to clearly deliver work instructions.
