Century City Law Firm is seeking an Executive Administrative Assistant/Legal Secretary.
This position is responsible for providing high level administrative and secretarial support to attorneys in the Litigation and Private Client Services Department.

Qualifications:
  • Minimum 3 - 5 years of experience (experience in a law firm and a corporate practice not necessary, but a plus) and demonstrate strength in the following:
  • Strong technical, organizational, administrative and communication skills.
  • Proficiency in Microsoft Office 2010 (Outlook, Word, Excel and PowerPoint).  Familiarity with FileSite and Workshare a plus.  
  • Self-starter, extremely organized and detailed-oriented with a strong commitment to accuracy.
  • Excellent communication, both written and oral as well as interpersonal skills.
  • Ability to multi-task and manage priorities effectively.
  • Absolute discretion when dealing with confidential matters.
  • Available to work overtime as needed.
  • High degree of personal integrity, discretion and confidentiality.
Responsibilities include, but are not limited to:
  • Receiving inbound calls, determining the priority of issues, and providing detailed messages in a timely and appropriate manner.
  • Receiving visitors.
  • Communicating with clients and building client relationships.
  • Managing and maintaining attorney’s schedule and calendar (including coordination of complex meetings).
  • Reading and suggesting plan of action on inbound correspondence.
  • Maintaining records and files.
  • Calendar management including internal and external meetings and conference calls.
  • Making travel arrangements, including planning itineraries, and planning, producing, and maintaining journey records and vouchers.
  • Providing word-processing and secretarial support (including original input, revisions, proofreading and making corrections in documents for grammar, spelling, punctuation, format, and content).
  • Preparing expense reports, new client/matter forms, and time sheets.
  • Handling partner monthly billing.
  • Coordinating and directing office services, such as records and finance.
  • Completing special projects as needed.
  • Other duties as assigned
