Accounts Payable Specialist

Phillips, Spallas & Angstadt LLP, an established AV-rated civil litigation law firm with offices in San Francisco, Los Angeles, and Las Vegas, is seeking a detail-oriented and highly organized Accounting & Accounts Payable Specialist to join our team in our San Francisco office.
 
This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and demonstrates strong accuracy in financial operations. The ideal candidate will bring expertise in accounts payable, strong organizational skills, and a commitment to maintaining high standards of accuracy. The candidate should be an energetic team player who works well under pressure and has a demonstrated ability to be self-motivated and hard-working. Law Firm experience is a strong plus. Some Accounts Receivable (AR) work might be required.
 
This position is Monday-Friday. This candidate must be willing to commit to at least five days per week in the San Francisco office from 8:30 a.m. to 5:30 p.m. during the initial training period and then at least two days per week after the training period.
 
Duties and Responsibilities
 
  • Monitor and reconcile ledgers; prepare and distribute daily accounts payable reports across multiple bank accounts
  • Verify, code, and process operational and third-party invoices, including managing invoice holds and payment cycles
  • Review, verify, code, and reconcile corporate credit card statements, process employee reimbursements, and expense claims
  • Reconcile monthly vendor statements, researching and resolving any discrepancies.
  • Maintain vendor W-9 documentation and coordinate annual 1099 reporting.
  • Support the finance team with financial reporting, tax audits, and various special projects
  • Maintain compliant vendor files aligned with company Security and BAA requirements
  • Assist management with vendor contracts and relationships
Qualifications
 
  • Ability to handle multiple duties independently in a fast-paced environment
  • College graduate with previous law firm work experience highly preferred
  • Minimum Associate’s degree in accounting is required
  • Proficiency in AP processes and best practices
  • Excellent communication and problem-solving skills
  • QuickBooks experience preferred
  • Proven ability to effectively manage time and meet deadlines
  • Demonstrated attention to detail is a must

Job Type: Full-time, Monday - Friday. The candidate must be willing to commit to at least two days per week working in the San Francisco office from 8:30 a.m. to 5:30 p.m. Remote work may be an option for the remaining days of the week depending on the candidate’s circumstances.
 
Salary: $65,000-$90,000 depending on experience

Education:
  • Associate or Bachelor’s degree in accounting (Preferred)
Experience:
  • General Accounting/Accounts Payable: 2-3 years (Preferred)
  • Accounts Receivable experience (Preferred)
  • Law Firm experience (Strongly preferred)
Ability to commute/relocate:
  • San Francisco, CA 94105: Reliably commute or planning to relocate before starting work (Required)
